Who is responsible for your information

Sellframe Ltd (company number SC472357, registered in Scotland), trading as Fax Anything, decides how and why your information is used. Our registered office is 14 Avonside Grove, Hamilton, Lanarkshire, ML3 7DL, Scotland, UK. For anything about privacy, write to privacy@faxanything.com.

What we collect

WhatWhy
Your fax. The document, the number and name of the recipient, your name and email, any note and reply contact for the cover page.To send the fax you asked for, show you a preview, and tell you whether it arrived.
Your account, if you sign in. Your email, your name if you give it or Google shares it, and how many faxes you have.To sign you in, keep your faxes, and give your first fax free once.
Payment details. Stripe takes your card payment. We receive the result and a reference, not your card number.To charge for a fax only when it is delivered, and to handle disputes.
Technical information. Your IP address, your browser type and the pages requested, kept in server logs. Documents are never written to those logs, and a phone number only by its last four digits.To keep the service running, find faults, and stop misuse.
Things you send us. Support emails, abuse reports, stop-faxes requests and deletion requests.To deal with what you asked.

A document can contain anything, including health information. We treat that with extra care: see the health data privacy policy.

Why we may use it (our legal reasons)

  • To carry out our agreement with you: sending the fax, running your account, and taking payment.
  • Our legitimate interests: keeping the service secure, preventing misuse and junk faxes, and answering complaints.
  • The law: keeping the records we must keep, and answering lawful requests from the authorities.
  • Your consent, for health information inside a document. You give it by ticking the box before you send, and you can take it back by asking us to delete your data.

We do not sell your information. We do not use it for advertising, and we do not use documents for anything except sending them.

Who it is shared with

  • A fax carrier, a telecoms company that delivers the fax. It receives the document and the number.
  • Stripe, which takes card payments. It receives the amount, a description such as the number faxed, and your card details, which go to it directly.
  • An email provider, which sends sign-in codes and delivery emails. It receives your email address and the text of those messages, never the document.
  • A hosting provider, which runs the servers where encrypted documents and our records are stored.
  • Google, only if you choose to sign in with it. We receive your email address and name.
  • Authorities, where the law requires it.

If you would like the names of the providers we use at the moment, ask at privacy@faxanything.com.

Where it is processed

Our servers and our providers are mostly in the United States, and faxes go to numbers in the United States and Canada. If you are in the United Kingdom or elsewhere, your information is therefore processed outside your country. We share only what each provider needs to do its job and we ask them to protect it. Ask us if you would like more detail.

How long we keep it

  • Documents: deleted within 24 hours of the fax’s final status (delivered, failed or canceled). Stored documents are encrypted. Server backups are kept for up to four weeks, so a copy can stay in a backup for that long before it is overwritten.
  • Fax records (number, page count, status, time and payment reference): 12 months, for billing and disputes.
  • Your account: until you ask us to delete it.
  • Sign-in codes: they expire after ten minutes.
  • Stop-faxes numbers: for as long as the block needs to work.

Cookies and your browser

We set one cookie of our own, to keep you signed in, and only when you sign in. Signing in with Google uses a short-lived cookie to finish that sign-in safely. We have no advertising or analytics cookies and no third-party scripts. Your browser also keeps a small note so the menu can say “Account” instead of “Sign in”, and may keep a number you typed for a moment so the next screen can use it. Neither is sent to us.

Your rights

You can ask us to:

  • tell you what we hold about you and give you a copy;
  • correct anything that is wrong;
  • delete your information (use delete my data);
  • restrict or stop how we use it, or give it to you in a form you can reuse;
  • take back a consent you gave.

Write to privacy@faxanything.com. We reply within one month. If your request is complicated we may need longer, and we will tell you why within that month. We never take more than 45 days.

If you are not happy with our answer, you can complain to the UK’s data protection regulator, the Information Commission (still known as the ICO), at ico.org.uk/make-a-complaint. It will usually ask that you have contacted us first. Depending on where you live you may have other rights and other places to complain. Washington State has its own rules for health information, explained in our health data privacy policy.

Children

Fax Anything is not meant for children, and we do not knowingly collect their information.

If we change this policy, the date at the top changes. If the change matters, we will say so on the website.
